Creating and Renaming Files

Creating a file means making and saving new information on a computer. Renaming means changing the file’s name without changing its content.

Real-life example: You create your homework in Microsoft Word and save it as Homework.docx. Later, you rename it Computer-Homework.docx so it is easier to identify.

How Is a File Created?

For example, you can open Notepad, type some notes and save them as Computer-Notes.txt.

Method 1: Create a File Using an Application

This is the most common method.

  1. Open an application such as Microsoft Word, Paint or Notepad.
  2. Create your document, picture or notes.
  3. Click File → Save.
  4. Select the folder where you want to keep the file.
  5. Enter a meaningful file name.
  6. Click Save.

Practical Example

Suppose you create a school project in Microsoft Word:

  • Folder: Documents → School Projects
  • File name: Computer-Network-Project
  • Extension: .docx
  • Complete name: Computer-Network-Project.docx

Method 2: Create a File Inside a Folder

On a Windows computer:

  1. Open File Explorer.
  2. Go to the required folder.
  3. Right-click an empty area.
  4. Select New.
  5. Choose a file type, such as Text Document.
  6. Type the file name and press Enter.

The available file types may be different on different computers.

Save vs Save As

What Does Renaming a File Mean?

Renaming changes only the file’s name. It does not normally change the information stored inside it.

How to Rename a File on Windows

  1. Select the file.
  2. Right-click it.
  3. Click Rename.
  4. Type the new name.
  5. Press Enter.

You can also select the file and press the F2 key to rename it quickly.

How to Rename a File on a Mobile

  1. Open the Files or File Manager app.
  2. Press and hold the file.
  3. Open the menu.
  4. Select Rename.
  5. Enter the new name and tap Save or OK.

The exact options may differ depending on the phone.

File Name and File Extension

A complete file name normally has two parts:

In Computer-Notes.docx:

  • Computer-Notes is the file name.
  • .docx is the file extension.
  • The extension tells the computer which type of file it is.

Rename the Name, Not the Extension

Changing .docx to .jpg does not convert a Word document into an image. It can prevent the file from opening correctly.

Rules for Good File Names

Use names that clearly describe the file.

Follow these simple rules:

  • Keep the name short and meaningful.
  • Add a date or version when necessary.
  • Avoid names such as New File or Document1.
  • Do not change the extension accidentally.
  • On Windows, avoid characters such as \ / : * ? " < > |.

Common Mistakes

  • Saving the file in the wrong folder.
  • Using confusing names such as file1 or new.
  • Accidentally deleting or changing the extension.
  • Creating many files with almost identical names.
  • Renaming a shortcut instead of the original file.

Real-Life Example

Riya creates her computer notes and saves the file as:

Notes.docx

Later, she realizes that the name is unclear. She renames it:

Chapter-1-Files-and-Folders.docx

The name changes, but all the notes inside the file remain the same.
