Basic File Management

File management means organising, storing and handling files and folders so they can be found and used easily.

It includes:

  • Creating folders
  • Giving files clear names
  • Copying or moving files
  • Finding files
  • Deleting unwanted files
  • Keeping backups

Why Is File Management Important?

Good file management helps you:

  • Find files quickly.
  • Keep your computer organised.
  • Avoid duplicate files.
  • Protect important information.
  • Save storage space.
  • Prevent accidental file loss.

Real-life example: Organising files is like arranging books on different shelves. If every book has a proper place, you can find it quickly.

Create a Simple Folder Structure

Make separate folders for different types of files.

    A --> D["Personal"]
    B --> E["Assignments"]
    B --> F["Notes"]
    C --> G["Reports"]
    D --> H["Certificates"]

Avoid storing every file directly on the Desktop or inside the Downloads folder.

Use Clear File Names

A good file name should explain what the file contains.

Unclear NameClear Name

notes.pdfNetwork-Chapter-Notes.pdf
final2.docxProject-Report-v2.docx

You can also add dates in the YYYY-MM-DD format:

2026-08-23-Meeting-Notes.docx

This format keeps files arranged in the correct date order.

Keep Files in the Correct Folder

After downloading or creating a file, move it to the correct folder.

Example:

  • Assignments → Documents/School/Assignments
  • Photos → Pictures
  • Job documents → Documents/Job Applications
  • Music → Music
  • Videos → Videos

This prevents important files from getting lost inside the Downloads folder.

Sort and View Files

File Explorer allows you to arrange files by:

  • Name
  • Date modified
  • File type
  • File size

For example, selecting Date modified helps you find the file that you edited most recently.

You can also change the view to:

  • Large icons
  • Small icons
  • List
  • Details

The Details view is useful because it displays the file’s name, type, size and modification date.

Search for a File

If you cannot find a file:

  1. Open File Explorer.
  2. Select the folder or drive you want to search.
  3. Use the search box.
  4. Enter the file name or part of its name.

You can also search using a file extension:

  • Search *.pdf to find PDF files.
  • Search *.jpg to find JPG images.
  • Search *.docx to find Word documents.

Delete Unwanted and Duplicate Files

Regularly check these locations:

  • Downloads folder
  • Desktop
  • Recycle Bin
  • Screenshots folder
  • Duplicate photos and documents

Before deleting a file, open it and confirm that it is no longer needed.

Do not delete unknown system files because they may be required by the operating system.

Keep a Backup

A backup is an extra copy of an important file.

You can store backups on:

  • A USB drive
  • An external hard drive
  • Another computer
  • Cloud storage such as Google Drive, OneDrive or iCloud

    B --> D["Computer"]
    C --> E["Cloud or External Drive"]

If the original file is lost, damaged or accidentally deleted, you may recover it from the backup.

Simple File Management Routine

Follow this routine regularly:

  1. Rename newly downloaded files.
  2. Move them into the correct folders.
  3. Delete files you no longer need.
  4. Remove unnecessary duplicates.
  5. Back up important documents.
  6. Check the Recycle Bin before emptying it.
